Projects

Smiling Woman Portrait

When something in your books or systems needs special attention, a project is often the smartest choice. It’s a one-time engagement with a defined outcome — perfect for clean-ups, diagnostics, audits, and any “something feels off” work that needs an expert eye.

Projects give you clarity, direction, and a plan you can trust, without moving into a monthly commitment unless you choose to.

What Counts as a Project?

Projects are ideal when you need help with a specific issue or outcome, such as:

  • Chart of Accounts Analysis + Clean-Up - Fixing duplicate, outdated, or confusing accounts so your reports finally make sense.

  • Deep Dive Diagnostic - A complete health check of your books. We review your file line by line to identify errors, risks, inefficiencies, and opportunities — then deliver a clear, plain-language report so you know exactly what needs attention.

  • Accounting Systems Audit - A full review of your accounting ecosystem, including workflows, app stack, controls, reporting structure, and how information moves through your business.
(Based on your Accounting Systems Audit PDF.)

  • Backlog, Clean-Up, or Rescue Work - One-time repair work before you transition into Real-Time Bookkeeping, or simply to bring old records up to standard.

  • One-Time Strategy or Review Projects - Helpful for accountants, bookkeepers, or small business owners wanting an unbiased third-party review.

Our Approach

We make project work painless. Everything is scoped up front so you know what’s happening, why it matters, and what you’ll receive at the end.

You’ll get a structured process, consistent communication, and expert recommendations written in clear, human language — no jargon, no guessing.

Billing & Project Pricing

Project work comes in two flavours:

1. Flat-Fee Projects

Used for well-defined work with a clear beginning and end, including:

  • Deep Dive Diagnostic

  • Accounting Systems Audit

You’ll receive a quote before we begin so you know exactly what the investment looks like. Flat-fee projects typically include a discovery call, intake, review, written report, and a debrief session.

2. Hourly Projects

Used when the scope depends on what we discover (for example, chart of accounts clean-ups or historical fixes).

Hourly prices depend on who you want doing the work:

  • $85/hr — Regular bookkeeping or out-of-scope projects (completed by our Bookkeeping Department under supervision)

  • $150/hr — Bookkeeping Manager (Sandra)

  • $199/hr — Firm owner (Tanya)

  • $175/hr — Clean-Up or Rescue Work (using specialized tools for faster turnaround)

  • Priority work: 1.5× the hourly rate for expedited deadlines

You’ll receive an estimate before we begin, and we’ll check in if we’re approaching the upper range.

Business Data Analysis

A messy chart of accounts makes everything harder.

We help you:

  • fix duplicates and inconsistencies

  • simplify and reorganize your chart

  • align your accounts with how your business actually operates

  • create meaningful categories for clean reporting

  • reduce clutter and confusion for your whole team

This is typically billed hourly. You choose the rate tier (Bookkeeping Department, Bookkeeping Manager, or Partner) depending on the level of expertise you prefer.

What You Can Expect

Most projects follow a simple, transparent flow:

  1. Discovery Call
We talk about what’s going on and determine the right project for your needs.

  2. Scope & Estimate
You’ll receive a clear outline of the work, timeline, deliverables, and pricing model.

  3. Access & Intake
We gather the information and system access we need to get started.

  4. Review & Analysis
Our team works through your books, workflows, or systems — documenting everything.

  5. Report & Debrief
You get a written summary with findings, recommendations, and next steps.

  6. Optional Follow-Up Support
We can help you implement the plan or transition smoothly into Real-Time Bookkeeping or Profit Coaching.

Is a Project Right for You?

Choose a project when:

  • something feels “off” in your books

  • you want a file cleaned up before annual tax prep

  • you’re preparing for financing or a sale

  • your tech stack feels messy or disconnected

  • you want a neutral review of your team’s work

  • you’re not ready for ongoing bookkeeping, but you do want clarity

If your business needs consistent monthly support, you may be a better fit for Real-Time Bookkeeping — and many clients begin with a project to get their books back in shape first.
